Job Title: Director of Operations/Executive Assistant.

BESO Foundation works to sustainably improve livelihoods of children and women through providing access to quality education, health services and economic empowerment through agriculture in rural Uganda. The director of operations will report directly to the Founder-Executive Director with oversight from the Board of Directors.

This individual will work as part of a small team to provide quality education, healthcare and livelihoods initiatives to the people of Uganda starting with Kayunga District.

This individual must be ready to tackle a number of challenges and have the ability to multi-task in a fast-paced startup environment. He/she be hands on and willing to travel as required.

The position will be based in Kampala with frequent travel to Kayunga District and other parts of the country and over seas for learning and net working purposes.

Operational Responsibilities:

  • Assist Founder-Executive Director and Board to implement BESO’s 2013-2018 strategic plan and advice on strategic direction for 2018-2023 new strategic plan.

  • Develop programs, policies and procedures for both Kampala office and operations in St. Mark School/BESO supported schools.

  • Manage all BESO paid staffs and volunteers and the staffs’ capacity building initiatives.

  • Facilitate interaction between the Kampala office, St. Mark School staffs/BESO supported schools, and the board of directors.

  • Manage all facets of the BESO office

  • Oversee, evaluate and report on BESO’s program model performance.

Administrative Responsibilities:

  • Assist Executive Director and Board with programs, policy implementation, and staff and board/Executive meeting requirements: including sending meeting notices, developing agendas, and recording and distributing all minutes.

  • Attend all Board of Directors meetings and Board Subcommittee meetings as needed.

  • Manage the Founder-Executive Director's calendar, scheduling, and travel logistics.

  • Assist Founder-Executive Director with special projects

  • Assist Founder- Executive Director with Employee, intern and volunteer recruitment.

Financial Responsibilities:

  • Assist in the development of the annual budget

  • Manage and process employee payroll, benefits and vacation records

  • Maintain the organization's financial records

  • Prepare and distribute monthly, quarterly and annual financial reports

  • Process all revenue, accounts payables and receivables.

  • Assist with the procurement committee, which is appointed by the Board, as needed.

Fundraising Responsibilities:

  • Assist and work with the fundraising committee, which is appointed by the Board, as needed.

  • Prepare a list of donor prospects and help in building a fundraising plan and strategy and partnership development.

Community/Public Relations Responsibilities:

  • Develop and maintain BESO’s brand andhHelp to develop and generate all press materials and publications including press releases, publications, annual report, newsletters, etc

  • Maintain the website and utilize social marketing tools to generate visibility for the organization's initiatives.

QUALIFICATIONS:

  • 2+ years of nonprofit administrative, fundraising and program experience; or an equivalent combination of training and experience

  • Bachelor's degree required; training or experience in education sector or social development is a plus.

  • Proven strength in administration, financial management, fundraising, human resources management, program development, board/Executive committee support, special events and technology a plus.

  • Strong computer literacy in Word, Excel, PowerPoint, QuickBooks, etc.

  • Ability to think strategically and be proactive

  • Must demonstrate flexibility, professionalism, creativity, compassion and a sense of humor

  • Strong written and oral communication skills

  • English fluency and little Luganda. Luganda is sometimes needed to communicate with community based staffs where necessary but its optional.

  • Willingness to travel 1-2 times a month to Kayunga District to become familiar with program and coordinate work between Kampala and Kayunga.

  • Data collection and reporting experience
